# Invitations

> Guardian and teacher invitations — how to accept one, and how to send one.

Most people arrive at Zebrania through an invitation: someone entered
your address and you received a link. This page starts with what to do
with that link. Sending invitations is covered [further
down](#sending-invitations).

There are two kinds of invitation, and they differ in what they give you
access to:

* **Guardian invitation** — attaches you to one specific **student**, as
  their parent or guardian.
* **Teacher invitation** — attaches you to a **school**, as a member of
  its team.

## You received an invitation — what next

Open the link from the message. You'll see the invitation page, and what
appears there depends on one thing: whether you already have a Zebrania
account.

### If you don't have an account yet

You don't need to create one in advance or hunt for a sign-up form.

For a **teacher invitation** the app handles it for you. It doesn't even
ask for your address — it knows it from the invitation:

> This invitation is addressed to *(address)*. We will send that address
> a link that joins you to the school straight away.

Press **Join the school**, you'll get the confirmation "We sent a link to
*(address)*. Open it to join the school", then click the link in your
inbox — and the account is created as part of signing in. One click
covers registration and joining together.

For a **guardian invitation** you choose: the page offers **Create
account** alongside **Sign in**. Pick "Create account"; afterwards you
return to the same invitation page to accept it.

### If you already have an account

Sign in (see [Getting started](/en/getting-started) — sign-in is by link,
no password). Once signed in, the invitation page shows an **Accept
invitation** button, and that's it. An invitation adds a permission to
the account you already have. **Don't create a second account** to accept
one: one person, one account — including when you're a parent at one
school and a teacher at another.

  An invitation is issued to one specific email address. If you sign in
  with a different account you'll see: "This invitation is addressed to
  *(address)*. Please sign in to the right account." Sign out and back in
  with the invited address — or ask for a new invitation to the address you
  actually use.

## When an invitation doesn't work

If no message reached your inbox at all, the causes are the same as for
sign-in — spam, a typo, school mail filters. See

## Sending invitations

### Guardian invitation

A guardian invitation for a particular student can be sent by:

* **a parent or guardian of that student** — to add a second parent, a
  grandparent who collects the child, or a guardian in another household;
* **that class's homeroom teacher**, the **secretary**, or a **school
  administrator** — from the class page.

That second route is recent: previously only a parent could invite a
guardian, which left the school with no way to add a parent who couldn't
get started alone. Today both routes produce the same invitation.

To do it from the school side: open the class, find the student, and
press **Invite a guardian**. The **Guardian email or phone** field is
**optional**:

* enter an address or number — the app sends the invitation and confirms
  "Invitation sent to *(recipient)*";
* leave it blank — you get a **Guardian invite link** to copy and pass on
  yourself (through a school register or messenger, say).

If you lack the permission you'll see: "Only this class's homeroom
teacher, a school secretary, or an administrator can do this."

  A guardian invite link grants access to that student's data. Pass it only
  to the person it's meant for — anyone who opens it becomes a guardian.

### Teacher invitation

A teacher is invited to a school by a **school administrator**, and only
by them. A secretary or homeroom teacher cannot; attempting it shows:
"Only a school administrator can do this. Ask an administrator of your
school to make the change for you."

When inviting, the administrator supplies an email address and can
immediately assign the person to specific classes, marking them as a
**subject teacher** or a **homeroom teacher** in each. Those assignments
take effect the moment the invitation is accepted — there's no separate
step to come back to.

If that person already has a pending invitation to the school, the app
refuses: "This teacher has already been invited to this school." Don't
send a second one — resend the one already waiting.

## Validity and resending

Invitations — guardian and teacher alike — are valid for **7 days** from
sending. After that the link stops working and a new one is needed.

* A **teacher invitation** can be **resent** by an administrator from the
  team list. Resending extends validity by another 7 days and sends a
  fresh message, as long as the invitation is still waiting to be
  accepted. An administrator can also **revoke** it.
* A **guardian invitation** has no separate "resend". Just create a new
  one: repeat **Invite a guardian** for that student and a fresh link is
  minted.

Either way, after a resend the recipient's inbox holds two messages. The
**newest** one works — deleting the older one straight away saves
confusion.
